Job Description

Position Summary:

The Lube and Fuel Dispatcher is responsible for coordinating the timely and efficient delivery of fuel, lubricants, and related products to construction equipment, job sites, or fleet vehicles. This position ensures operational readiness by scheduling deliveries, maintaining accurate records, and communicating effectively with drivers, mechanics, vendors, and field personnel.

Key Responsibilities:
  • Schedule and dispatch lube and fuel trucks to various job sites and fleet locations.
  • Track vehicle and equipment fueling requirements and coordinate delivery times accordingly.
  • Monitor inventory levels of fuel and lubricants; coordinate reordering and replenishment.
  • Maintain communication with drivers to provide updates, instructions, and resolve issues.
  • Ensure compliance with DOT regulations, environmental standards, and company policies.
  • Utilize GPS tracking and dispatching software to optimize routes and reduce fuel costs.
  • Maintain accurate logs and reports on deliveries, usage, and service intervals.
  • Collaborate with mechanics and equipment managers to schedule preventative maintenance.
  • Respond to emergency refueling or lube needs and adjust schedules as necessary.
  • Verify completion of service calls and maintain documentation for auditing purposes.

Qualifications:
  • High school diploma or GED required; associate degree in logistics or a related field preferred.
  • 2+ years of experience in dispatching, logistics, or fleet operations (fuel/lube experience a plus).
  • Knowledge of fuel and lubricant types, usage, and handling procedures.
  • Strong organizational and time-management skills.
  • Proficiency with dispatching software and Microsoft Office Suite (Excel, Outlook).
  • Ability to communicate effectively with a wide range of field and office personnel.
  • Familiarity with DOT, OSHA, and EPA regulations regarding fuel and hazardous materials.
