Job Description

A public behavioral health agency in Suffolk, VA is seeking an Administrative Specialist to support Human Resources operations at the front desk and assist with training setup and administrative functions. This role includes reception duties, clerical tasks, training support, scheduling, and employee service functions.

About the Opportunity:

  • Schedule: Monday - Friday, onsite daily
  • Hours: 8:00 AM - 4:30 PM
  • Length: Contract

Responsibilities:

  • Greet walk-in applicants, employees, and clients professionally
  • Answer phones, respond to inquiries, and direct individuals to appropriate departments
  • Notify clinicians of client arrivals via the EHR system
  • Maintain office supplies and prepare requisitions for Human Resources
  • Assist with onboarding tasks such as check-in for new hire orientation
  • Draft letters, memoranda, and compile reports/documents
  • Maintain a clean and organized reception area and conference rooms
  • Schedule rooms and coordinate refreshments for meetings and trainings
  • Verify employment references and schedule interviews
  • Support the HR team with clerical and technical tasks
  • Perform other duties as assigned by HR leadership

Qualifications:

  • High School diploma or equivalent; additional education or HR experience preferred
  • At least 1-2 years of experience in a front desk, receptionist, or administrative support role
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • Friendly and professional demeanor
  • Proficiency in Microsoft Word, Excel, PowerPoint, and HRIS systems
  • Ability to manage sensitive/confidential information

Desired Skills:

  • Experience in Human Resources or employee training environments
  • Knowledge of HIPAA, confidentiality practices, and HR compliance
  • Ability to represent the HR department professionally and handle tasks independently
  • Strong attention to detail and ability to prioritize in a fast-paced setting
  • Familiarity with scheduling systems, supply tracking, and basic reporting
