Administrative Assistant 2 | Virtual Hearings Coordinator

We are searching for an Administrative Assistant 2 who will serve as a critical link between incarcerated individuals, legal representatives and the court system!

As an Administrative Assistant 2, you will ensure compliance with Department of Corrections policy 590.500 - Legal Access for Incarcerated Individuals, by facilitating timely, accurate, and efficient legal access. Daily tasks could include facilitating virtual court hearings, arrangements, trials and other court actions.

As an Administrative Assistant 2 , some of your duties will include:

  • Supporting professional and responsive interactions with Criminal Justice Partners for requested court proceedings as directed by the facility legal liaison which could look like:
    • Reviewing requests for virtual and telephonic court actions
    • Planning and scheduling venues for requested court interactions with incarcerated individuals
    • Helping incarcerated individuals navigate the court system
    • Communicating with facility personnel
    • Facilitating connection with courts for incarcerated individuals
    • Providing troubleshooting of virtual connections
  • Maintaining documentation and data related to Legal Access requests
  • Completing public disclosure requests
  • Serving as secondary public disclosure point of contact, coordinating and responding to requests in accordance with RCW 42.56 and DOC policy 280.510 Public Disclosure of Records
  • Other duties as assigned

What we need (required qualifications):

  • High school diploma or equivalent
  • Knowledge and well versed in DOC policies to include by not limited to:
    • DOC 450.200 Telephone Use by Incarcerated Individuals
    • DOC 490.800 PREA Prevention and Reporting
    • DOC 590.500 Legal Access for Incarcerated Individuals
  • Basic computer proficiencies to include Outlook, Microsoft TEAMS and other related virtual platforms (Zoom, SharePoint, OMNI, etc.) SharePoint, Excel, Word, PowerPoint, Vizio, Publisher and Canva
  • Excellent communication skills both verbally and in writing
  • Clear understanding and commitment to DOC Core Values

What will make your application stand out (preferred qualifications):

  • One year of experience as an Administrative Assistant 1
  • A Bachelors degree in business administration, public administration or closely allied field
  • Two years of responsible office experience at the senior clerical level or higher
  • Clerical or office work experience may be substituted for education on a year for year basis

Telework Details:

This position may be allocated for telework. Work may be performed from your home or another offsite location within the state of Washington using a reliable internet or cellular hotspot service at that time. Employees are expected to perform assigned duties in a safe manner, to take proper care all state-issued equipment, and maintain confidentiality of all information in possession while working offsite. Employees will be required to commute to a Department of Corrections facility or field office as business requires, to potentially include components of the onboarding process. Some offices will have a "drop in" area available, however, a dedicated workspace within a DOC facility will not be provided.
